Lesson 12: Timesheet
Objective:
The goal of this training is to help users understand how to effectively use the Timesheet feature in TeamOB. By the end of this guide, users will be able to:
Fill out their own timesheet, accurately recording work hours.
View, edit, and submit historical timesheets.
Understand how admins or team leaders approve or reject user timesheets.
Learn how to export timesheet data.
Understand how to search and filter through timesheet records.
1. Filling Out a Timesheet (User Perspective)
Users can fill out timesheets to log their work hours based on the tasks they've completed.
Steps to Fill Out a Timesheet:
Access the Timesheet:
Right-click on the TeamOB tool and click on Dashboard.
Click on the Timesheet button to open the timesheet interface.
Create the Timesheet:
Select the required date for which you want to log hours.
Fill out the timesheet, specifying hourly work categories.
Ensure that the entries are accurate.
Submit the Timesheet:
After entering the data, click on the Submit button to save your timesheet.
2. Viewing Historical Timesheets (User Perspective)
You can view and edit your previously submitted timesheets for review or correction.
Steps to View Historical Timesheets:
Access Historical Timesheets:
Click on the View Tab from the Time Tracking Menu.
View past records for any date.
Edit Timesheets:
Double-click on a cell to edit the timesheet.
After making edits, click on the Submit button to update the record.
3. Viewing and Managing Timesheets (Admin/Team Leader Perspective)
Admin and Team Leader roles can view and approve or reject timesheets submitted by users.
Steps for Admin/Team Leader to View a User's Timesheet:
View Timesheet:
Click on the Timesheet section in the TeamOB menu.
Click on the user record to view the submitted timesheet.
Steps for Approval or Rejection of a Timesheet:
Approve Timesheet:
Click the Accept button to approve the timesheet.
The status of the timesheet will change to accepted.
Reject Timesheet:
Click the Reject button.
A pop-up will appear asking you to add a note.
After adding the note, click Submit. The status will change to rejected.
4. Exporting Timesheet Data (Admin/Team Leader)
TeamOB allows users to export timesheet data for reporting and analysis.
Steps to Export Timesheet:
Export Data:
Click on the Actions button.
Select the Export option to export the timesheet data in the desired format.
5. Creating a New Timesheet (Admin/Team Leader)
Admins or Team Leaders can create timesheets for other users or for specific projects.
Steps to Create a New Timesheet:
Access Time Tracking:
Go to the Time Tracking Menu.
Click on Create.
Fill Out the Timesheet:
Select the required date and project.
Enter the hours worked under the appropriate categories.
Submit the Timesheet:
After filling out the timesheet, click the Submit button to save it.
6. Searching Within Timesheets
TeamOB allows users to search for specific records within their timesheet data.
Steps to Search Within Timesheets:
Search for Records:
Click on the Timesheet tab under the Timesheet menu.
Select the desired date range.
In each column’s first row, there is a search field.
Enter a search keyword and press Enter to filter the results.
