Lesson 5.1: Manage Menu
Objective:
The objective of this guide is to provide users with the necessary steps to manage, configure, and track users effectively within the system. It covers how to add, configure, invite, update, and delete users, as well as how to manage user settings such as tracking hours, roles, and activity monitoring.
Content:
1. Creating Users:
Navigate to the Users menu.
Click on the Action button (usually located at the top right).
Select Add New User to begin creating a new user.
2. Configuring Users:
Go to Manage/Users.
Under General Settings, configure the following settings:
Enable Webcam: Capture a webcam image of the remote user.
Enable Snap Server: Capture the screen of the remote user.
Enable Pause Option: Allow the remote user to start or stop the tool.
Enable Project Screen: Show the project selection screen after login.
Enable Memo Screen: Prompt the user to enter task descriptions every 30 minutes.
Enable Auto Login: Run the desktop tool in silent or background mode.
System Tray Icon: Show or hide the system tray icon.
Audio Recording: Record calls made by the remote user.
3. Tracking Hours:
Navigate to Manage/Users and go to Tracking Hours Settings.
You can choose to track hours for all days or specify custom start and end times for each day.
Set tracking time manually using the Custom Options.
4. Configuring Manager and Team:
Go to Manage/Users.
Click Add New User and select the role as Team Leader.
Enter user details: Username, Email, Name, and Password.
Scroll down and assign the appropriate Project using the User Privilege option.
To assign users to a project, select the users from the left panel and click on the > or >> icon to move them to the Project Users list.
5. Importing/Exporting Users:
Click on Manage/Users and open the Action menu.
Choose Import/Export.
Import Users: Download the template, fill in user data, and upload the file.
Export Users: Click to export the user data to an Excel file.
6. Inviting Users:
Click on the User Profile icon.
Select Invite Users.
Enter the user's name and email, and click Submit.
Pending invitations will remain until the user accepts the invitation.
7. Updating Mapping (Assigning Team Leaders/Managers):
Navigate to Manage Menu/Users and click the Action button.
Choose Update Mapping.
Download the template and update the file with Team Leader and Manager employee IDs.
Upload the updated .xlsx file to map users to the appropriate teams.
8. Deleting Employees in Bulk:
Download the template.
Enter the email addresses of employees you want to delete.
Upload the CSV file to delete employees in bulk.
9. Setting a User as Inactive:
Go to Manage/Users.
Toggle the Status button to OFF to set a user as inactive.
Lesson 5.2: Setup Department and Teams
Objective:
The objective of this guide is to help users understand how to set up departments, projects, and teams. It covers how to create and assign departments, set up projects, and manage employee assignments to teams or projects efficiently.
Content:
1. Setting Departments/Clients:
Navigate to the Manage Menu.
Select the Departments menu.
Click on the Action button (usually located at the top right).
Choose the Add New Department option.
Fill in the form with the following details:
Department Name: Choose the department name of the project owner.
Project Name: Enter the project name.
Start Date: Specify the start date of the project.
End Date: Provide the expected end date of the project.
Press Submit to save the department details.
2. Setting Teams/Projects:
Navigate to the Projects menu.
Click on the Add Project button.
Fill in the project details:
Department Name: Choose the department name of the project owner.
Project Name: Enter the project name.
Start Date: Enter the start date of the project.
End Date: Enter the expected end date of the project.
Press Submit to create the project.
3. Assigning Employees to Teams/Projects:
To assign employees to teams or projects:
Edit the project and select the employee name from the left panel.
Click on the right arrow to shift the selected employee to the right panel (assigned employees).
To remove an employee, select their name from the right panel and click the left arrow to move them back.
Click Submit to save the employee assignments.
